DAILY UPDATE #112 -- 8/28/2020
- AASD OFFICE CLOSURE.
AASD will be sending out a Daily Update, Monday-Friday, throughout the return to instruction/school reopening period. The Weekly Update will continue as usual on Thursdays with the typical news and information for AASD members. The AASD Office continues to remain closed. AASD staff are working remotely and can be reached via the contact information at the end of this Update.
AASD has created a Google Form for AASD Members to report issues, questions or concerns regarding work-related issues, COVID-19, return to instruction and school reopening. AASD will provide answers to issues, questions or concerns submitted as answers become available. You may also share your gratitude for another AASD member, district personnel, etc., via the same link.

- MONDAY, AUGUST 31 WILL BE A DAY LIKE NO OTHER WE’VE EVER SEEN
For those who have been working in the school system and in administration for years and for those who are relatively new to leadership, this school opening on Monday will be like no other we have ever experienced. Some things related to online learning will be exciting as we watch students embrace technology and staff try new ways of providing a high quality learning experience to students. But honestly, most of the things we all look forward to with a “normal” school opening are going to be sorely missed. We typically watch anxious parents walking new TK’s and Kinders to school or see retuning students so happy to be back in school. The smiles of the staff (teachers, cafeteria workers, custodians, school administrators, paraeducators, the office staff, visitors from central office, and so many more) as they welcome our students onsite for another year of learning is always heartwarming. The overall excitement of the first day of school is infectious – students making new friends and reconnecting with friends after the summer off and meeting their new teachers, staff all being on campus and sharing summer stories. That’s always part of the first day of school. There are always glitches and bumps along the way as we start school on campus, but all of the hard work of the staff and the positivity makes it all just fine as glitches are worked out. Hugs all around – a smile – just a “hello” from a colleague – high fives. We will miss all of those things so much.
In this new world of online instruction, our core mission remains the same – to provide all students with a positive and exceptional learning experience. While we can’t do many of the “normal” things that are opening of school traditions, we can do our best to ensure that all students, parents, and staff feel welcome and valued and we can start new “online” traditions! We can ensure that we provide the best experience possible under these circumstances. And when things don’t go perfect (and please realize under these circumstances things will not be perfect), we have the mindset and grace to help whoever needs help and deal with glitches with patience and kindness. All AASD members are leaders. That’s what we do and that’s why we were selected for our various roles. Every day, every year, regardless of whether our students are with us physically or virtually, we are leaders. We lead important work.
Monday will be a day like no other. Allow yourself time to prepare mentally for Monday and lead with grace. Thank you for all you do. At the end of the day, you did the best you could possibly do.

- UPDATED ATTENDANCE TAKING AND GRADING PROCEDURES
- CERTIFICATED SUBSTITUTE REMINDERS
- You may not use certificated substitutes in a vacant position. If you have a vacancy, please work with your HRO to identify a retired substitute if needed.
- Please ensure that your long-term substitutes are entered into SAMS. Once in SAMS, these staff members are eligible to participate in the Online Learning Visiting Teacher Training.
- CLEVER ACCESS FOR PARENTS
- Please share these links with your families to assist them with signing into Clever in order to access the district’s online learning platforms:
- EDUCATOR ATTENDANCE DURING PD SESSIONS
- As you may know, Zoom participation is captured through a zoom meeting registration that participants complete as they log into the meeting.
- Attendance spreadsheets for all sessions will be compiled at the end of the professional development week. Site leaders will receive these reports the week of September 7.
- We will not have attendance for sessions led by vendors or community/college partners who use their own Zoom platforms (ex. UCSD sessions).
- PPO UPDATES
- As we continue to prepare for the start of the school year and the students’ return to campus, please be aware that you may see increased activity with additional district staff on your site.
- Food Service staff returned to work today at the 82 kitchens that are designated as food distribution sites.
- The food service staff are training, cleaning and receiving food to prepare for serving Grab n’ Go meals on Monday.
- Grab n’ Go meals will be served as walk-up and drive-through from the school’s parking lot.
- The food service teams are aware of the health screening requirements. They have no-contact thermometers to perform temperature checks, and will carry out their daily screening at every site.
- PPO staff are ramping up their projects and have more employees returning to work.
- The projects are varied and will be carried out at different locations. And as is customary, the plan will be coordinated with the site POS/BSS.
- PPO staff are health screened when they arrive at PPO to start their work day, but PPO staff also know that sites may want to perform health screening again when the employee arrives on the site, and PPO staff will gladly comply.
- MANDATORY INITIAL ELPAC TRAINING - OFFERED BY OLA
- This training is required each year, in order to ensure the Online Initial ELPAC is administered to potential English learners.
- Each site is required to send up to one designated person to attend [English Learner Coordinator, staff member assigned to complete initial assessments, or the site Administrator]
- Participants will learn how to log into Moodle to complete their training.

- 2019 SUMMATIVE ELPAC RECLASSIFICATION UPDATE
- We have identified English Learners who have completed the 2019 Summative ELPAC and meet the Reclassification criteria.
- Sites with eligible students will receive notification from OLA informing them of the required steps needed to complete the Reclassification process.

TA Meeting

Greetings,
Things are continuing to move fast and there continue to be frequent changes. Information received today could change in a moment’s notice. Continuing to check all communications and keeping your staff updated is vital as we move forward. As of today, we will move forward with final disinfectant spraying (Titan) at elementary sites only, beginning on Monday, August 31, 2020. Please go through your entire campus systematically spraying disinfectant in all rooms and spaces. Please coordinate with your site administrators on occupied rooms and their availability, as you adjust your schedules.
Recently, an announcement was made concerning a Phase 1 return to in-class learning possibly by the end of September 2020. The links below are provided for informational and planning purposes. Phase 1 returns will be implemented at elementary school sites only and will be appointment based only. Administrators and staff will determine in-person learning at elementary sites and day/time of classroom instruction. It is important to communicate with your site administrators on classroom usage, schedule, and the hours of instruction. Once information is gathered, custodial staff will have to plan tasks to be completed after instruction. Classrooms and designated spaces used by anyone other than scheduled teachers will need to be cleaned, serviced and disinfected. This also includes the cleaning, servicing and disinfecting of used common areas (e.g. office, restrooms, hallways, etc.). Classrooms that are only occupied by the teacher, the teacher is responsible for classroom servicing and security (per MOU).
PPO maintenance staff may need access to particular areas for pending work orders and/or emergencies. PPO maintenance staff will also need to shut-off drinking fountains (interior and exterior locations). We are asking all visitors to coordinate with custodial staff for planning and accessibility. If you encounter a faucet that has yet to be secured (water) prior to instruction, we are asking that it be secured by custodial staff or caution taped off for non-use, until maintenance staff arrives.
About 12,000 of the district’s 102,000 students would likely qualify for in-person sessions based on certain criteria. Here is a summary of some of the key points regarding the use of classrooms/designated spaces:
- TK-2nd grades, 6 students per classroom with physical distancing and adhering to district guidelines
- 3rd-5th grades, 8 students per classroom with physical distancing and adhering to district guidelines
- Due to the low number of students per classroom, desktop barriers are not required at this time
